    Hamline University is proud to offer all full time (non-temporary) employees a variety of benefit options to choose from. Part time (non-temporary) employees are also eligible for some of the benefit options. Please see the 2019 Benefit Guide for plan specific eligibility requirements. 

    2020 Open Enrollment and Information Sessions

    Open Enrollment for 2020 Benefits will be held November 11th thru November 25th 2019. We invite you to attend one of three informational benefits meetings: 

    • SESSION 1: Monday, Nov 11th, 1:00 - 2:30 pm in Bush Center Ballroom
    • SESSION 2: Tuesday, Nov 19th, 10:00 - 11:30 am in Bush Center Ballroom
    • SESSION 3: Tuesday, Nov 19th, 11:30 am - 1:00 pm in Bush Center Ballroom 

    Representatives from our insurance broker NFP, Medica and Unum Insurance will be participating in these meetings and will be providing valuable information about your entire benefits package. As a reminder, every benefit eligible employee who intends to maintain their coverage must re-enroll during the open enrollment period. Open enrollment is your annual opportunity to re-enroll, change, or drop benefit coverage for you and your family without a life qualifying event!

    Open Enrollment will be completed online in Workday. Please see the email sent out for step by step directions called 2020 Open Enrollment Instructions.

    Benefit Timelines

    Depending on eligibility, most benefits are effective on the first of the month following the date of hire.  Changes may be made to benefit elections ONLY during New Hire Enrollment, Annual Open Enrollment, or due to a Qualifying Life Change Event. The ONLY exception is the 403(b) Retirement Plan and HSA (Health Spending Account) Plan. These may be changed at anytime throughout the year. Please see below for details on the enrollment time periods. 

    New Hire Enrollment 

     Eligible new hires have 30 days from their hire date to enroll in benefits online. To access Workday, please click on Logins at the top of the Hamline web page https://www.hamline.edu, select Workday, and log in using your Hamline username and password.  To make benefit elections as a new hire, look for an action item in your Inbox to complete your new hire enrollment. Please note the enrollment information will not be sent until all other new hire tasks are completed in Workday.  

    Qualifying Life Change Events 

    Changes may only be made to your benefits if you experience a Qualifying Life Change Event. In order to be eligible to make a change to your benefits, you must do so within 30 days from the date of the life change event. Qualifying Life Change Events are: 

    • Legal marital status
      • marriage, divorce, legal separation or annulment, and death of spouse.
    • Number of dependents
      • birth of child, adoption, placement for adoption, assuming primary support of  a child or an unmarried dependent child, and death of a dependent.  
    • Employment Status
      • Your dependent gains or loses access to employer sponsored coverage.  
    • Dependent Status
      • change due to age or other circumstance which causes your dependent to satisfy or cease to satisfy eligibility requirements under the plan.  
    • Medicare or Medicaid Eligible Status
      • you or your spouse become Medicare or Medicaid eligible.  

    Changes to your benefits are completed online in Workday. Once logged in, under the Applications section, click on the Benefits icon and under the Change section, click on the Benefits button. This will bring you to the page where you select your Benefit Event Type and Benefit Event Date. Make the appropriate changes needed and submit. The form goes to the Benefits Administrator for approval.

    Annual Open Enrollment

    Every year in November there is a two week period all benefit eligible employees may make changes or renew their benefits for the upcoming new year. Announcements for the upcoming benefit year start a couple weeks prior to the Annual Enrollment.

    403 (b) Retirement Account Changes 

    Any retirement changes need to be completed in Workday. Once logged in, under the Applications section, click on the Benefits icon and under the Change section, click on the Retirement Savings button. This will bring you to the page where you select Edit and type in the Change Date. Make the appropriate changes needed and submit.

     HSA (Health Spending Account) Changes 

    Any HSA changes need to be completed online in Workday. Once logged in, under the Applications section, click on the Benefits icon and under the Change section, click on the Benefits button. This will bring you to the page where you select your Benefit Event Type: HSA Change and Benefit Event Date. Make the appropriate changes needed and submit.
