Email Use Policy for Employees

Description: All faculty and staff members are required to use their Gmail email account for Hamline-related correspondence.



To establish the requirement that all Hamline Employees use their Hamline-provided Google Apps for Education email account (“GMail account”) for all Hamline-related correspondence.


This policy applies to all employees of Hamline University.


Hamline provides a GMail account to all faculty and all staff members. All employees are required to use this official account for Hamline-related correspondence. This policy ensures that all Hamline-related correspondence takes place within an approved system that is managed by Hamline ITS. As such it provides Hamline protection against security threats and email blacklisting, and allows Hamline to more easily ensure delivery of messages, diagnose delivery problems, report and prevent spam and cooperate with legal agents or governmental officials if requests for eDiscovery arise.

Policy Background and Implications

GMail accounts can be accessed using any Internet browser anywhere in the world. All Hamline employees automatically have a GMail account generated at the time of hire.

Changes to this Policy

Hamline reserves the right to change this policy at any time. Hamline will post the most up-to-date version of the policy on Hamline's web site and may, at its discretion, provide users with additional notice of significant changes. A user's continued use of their GMail account after any changes are published binds the user to the revised policy.
