Alcohol Policy: Serving Alcohol at Events

Introduction

The following policy covers alcohol use at certain events on the university premises. It applies to any event sponsored, funded, or hosted by any Hamline University organization, department, or rental group on Hamline University property.

Application Required

All event planners/organizers wishing to serve alcohol must have a completed and properly approved application on file with the Risk Management Specialist within the Finance Office.

Limitations on Alcohol Service

    • Alcohol may be provided only by the university’s selected licensed and insured provider, which accepts primary liability.
    • Alcohol may not be served to, consumed, or possessed by anyone under the age of twenty-one (21) years. Age identification must be checked if it is possible that individuals under the age of 21 will be present. Servers must also refuse to serve alcoholic beverages to anyone who appears intoxicated.
    • Beer and wine are the only alcoholic beverages permitted. Kegs, party balls, or open containers are not permitted.
    • Food and equally attractive non-alcoholic beverages must be served at all times while alcoholic beverages are being served or consumed.
    • Alcohol may only be served at invitation-only events; it may not be served at events open to the public.
    • Alcohol may not be sold at any event unless approved by the Vice President for Finance.
    • The Vice President for Finance may deny an application to serve alcohol based on the location of the event.

Security

The Office of Safety and Security will determine if security is required for the event based on the application. If required, appropriate security must be hired prior to the event through the Office of Safety and Security with costs covered by the sponsoring group. Safety and Security may also visit any event to ensure compliance with this policy and applicable laws.

Enforcement/Sanctions

The Finance Office enforces this policy. The university will impose sanctions on students, faculty, and staff found responsible for non-compliance with this policy. Students may be prosecuted within the applicable Student Judicial Policy, and departments will be held responsible for employees who are acting as the party responsible on record for an event. Among the possible sanctions is the prohibition against serving alcohol at future events. Violation of the local, state, or federal laws may result in legal consequences.

Any exceptions to this policy must be approved by the Vice President for Finance.

Both packages are based on a one hour time period. Mintahoe is flexible and willing to work with the client give or take a half hour. If client would like tableside wine service an additional few bottles may need to be purchased.

Groups of more than 50 guests

The following packages are offered for groups over the size of 50. Both packages have an 18% house service fee and a $500 beverage minimum that must be met prior to taxes and house service. Cash bars are also available.

Pricing: 1st hour: $6.95 per person
            2nd hour: $8.95 per person
            Every hour following: $2.50 per person

     Juices
     Sparkling water

Pricing: 1st hour: $7.95 per person
            2nd hour: $ 10.95 per person
            Every hour following: $2.75 per person
