New e-mail policies explained

In conjunction with ITS, the Office of Marketing Communications has proposed solutions aimed at fixing Hamline’s placement on an international spam list.

The project is led by Chief Information Officer Harry Pontiff and Jennifer Thorson, associate vice president of Marketing and Communications, who have been giving presentations that display the new e-mail policies and interim steps designed to keep Hamline’s domain name (anyaddress@hamline.edu) off of spam lists, such as those generated by filtering services like SPAMCop.

Below are some of the new policies:

Interim Steps

• In an effort to reduce the amount of e-mails sent out, messages sent to clastudents-announce@hamline.edu, which sents a message to all CLA students, have been digested.

• The Inside Hamline digest is now sent out separately to faculty, staff and students. Faculty and staff will recieve the digest Monday through Thursday, while students will only receive Inside Hamline on Fridays.

Long-Term Solutions

• Internal lists, or those lists that send e-mails to those within Hamline, will be categorized.

• Messages to lists will come from “generic” accounts, such as oracle@hamline.edu, and not from an individual account.

• Messages should follow subject line conventions, such as avoiding the use of jargon or leaving a “Fwd:” or “Re:” at the beginning of the message’s subject.

• Although currently only advisory, messages will eventually not contain attachments. Pontiff said this messes up the current CLA Digest.

• By this fall, Pontiff said, students will be required to use their Hamline e-mail accounts. Pontiff said Hamline is the only Minnesota private college that allows students to use a preferred account, such Hotmail or Yahoo.
